Organization: Institute for Biodiversity Science and Sustainability (IBSS), California Academy of Sciences
Duties: Support division-wide academic programs including multi-PI research initiatives, expeditions, research resources, grant production and execution, other synergistic research products, student & postdoc training programs, etc. Maintain a digital calendar of away dates of IBSS staff, accessible to a variety of internal stakeholders. Maintain filing systems – electronically whenever possible – of important IBSS documents, making sure necessary information is appropriately captured and secured.
Desired qualifications: Bachelor’s degree with a minimum of four years of experience as an Executive Assistant and/or Project Manager. Exceptional communication and interpersonal skills; ability to build relationships with diverse stakeholders, including staff, Trustees, partners and donors. Excellent organizational and time-management skills; able to manage and prioritize multiple projects, responsibilities and deadlines; anticipates work flow; efficient. Strong judgment, analytical, and problem-solving skills; able to think and work independently, multi-task, prioritize and follow through to effectively manage work flow.
