Position Title: Operations and Administrative Assistant

Organization Overview: Arctic Harvest Deliveries (AHD) is a small, inclusive, Anchorage-based, farm-to-table distribution company. AHD is a values-driven business that focuses on working with local farmers to create new markets for their products. AHD’s mission is to support local farmers and help expand the viability of the agricultural industry in the state. AHD sources and distributes a variety of products, including produce, meat, eggs, milk and other locally grown, raised, harvested and made foods. AHD distributes wholesale to restaurants, lodges, and independent grocery stores, as well as direct-to-consumer through AHD’s subscription Farm Share program.
Position Overview: AHD is looking for a self-motivated, adaptable, extremely detail-minded individual to be part of AHD’s small but mighty team. Candidates will play a key supporting role in making sure the day-to-day warehouse operations run smoothly; providing operational and administrative support with a focus on data management, customer service and logistics coordination. This position is perfect for someone who likes to do a little bit of everything. The ideal candidate would have an interest in/experience with produce, food service, agriculture or similar, great people skills, strong attention to detail and be very organized.
Duties:
- Data Management
- Utilize AHD’s software system daily to manage customer orders, track products and update availability in AHD’s online marketplace
- Help manage inventory and maintain accurate records
- Pull reports and track KPIs
- Maintain a filing system and do basic bookkeeping data entry (OJT provided)
- Maintain and update customer contacts, product descriptions and pricing and farmer profiles
- Customer Service
- Be the main point of contact for AHD’s customers via phone and email
- Solve problems and remedy complaints
- Provide “tech” support to help customers create or update their online accounts/subscriptions
- Support the Sales Manager by following up with wholesale account leads and taking weekly orders
- Logistics Coordination
- Help coordinate a team of 3 – 5 employees
- Oversee pulling and packing of orders (involves some heavy lifting)
- Help ensure a high level of quality control
- Help make sure drivers leave for designated routes on time
- Provide help as needed packing boxes for the retail Farm Share program
- Help implement processes to create a cohesive and harmonious team dynamic and work environment
Qualifications:
- Must be able to lift up to 50 lbs
- Knowledge of produce/local food/agriculture and ability to identify basic produce varieties preferred (OJT training provided)
- Valid driver’s license (commercial license not necessary)
- Excellent organizational and time management skills
- Ability to work independently to complete a checklist of duties each day
- Experienced in customer service and a friendly, professional attitude
- Excellent communication skills and the ability to handle conflict with grace
- Can do attitude, ready to jump in when all hands-on deck are needed
- Problem-solving should come naturally
- Good with numbers, including basic arithmetic and calculating percentages
- Experience with Excel, Outlook, Quickbooks and Data Management software is a huge plus
Salary/Pay: $39,520 per year
